Your Responsibilities

·         Use software applications to prepare spreadsheets, graphs, charts, presentations, proposals, and quotations

·         Provide administrative support to the team, including paper and electronic filing of information including expense reports, document filing/records management, reception duties, typing correspondence, distribution of mail, preparation of shipping documentation, forms, memoranda, reports, and minutes

·         Prepare other written material which may be commercially sensitive or confidential in nature

·         Update the project database and project files with cost and hour information

·         Provide Quality Assurance (QA) support to the department

·         Use electronic calendars and perform mail processing, travel, conference and meeting arrangements, processing expense reports, cheque requisitions and invoices, minute taking, use of time management principles, preparation of presentation material, information management, maintenance of a follow up system and handling of information and documents

·         Streamline the proposal development process for the group, including compiling key information, maintaining the information available in an easily accessible location and keeping the information current

·         Develop project costing and cash flow models and enter proposal information in SAP

·         Prepare marketing materials including website updates, presentations and handouts

·         Provide office support to order supplies and ensure supplies are well-stocked, maintenance of printer areas, and interacting with building management

·         Perform other duties as required

 

Your Qualifications

·         Completion of a college diploma in business administration or equivalent would be an asset

·         Strong computer skills in software packages such as Microsoft Word, Excel (including creation and use of macros, Pivot tables), Access, Visio, Project, Power Point, and SAP

·         Ability to work in a confidential capacity and understand the sensitivity of a variety of business documentation

·         Demonstrated ability to conduct tactful and direct communications with internal and external contacts

·         Requires proficiency in business grammar and sentence structure to prepare concise and effective correspondence, and reports

·         Work independently and in a project team environment

·         Organize and prioritize a large number of brief tasks

·         Demonstrate strong time management skills

·         Attention to detail which will contribute to error-free, high quality reports, documents and communications​​

 

Shift work may be required.
